The types of personal information we may collect include name, business name, job title, email address, phone number, enquiry details, meeting notes and correspondence, billing and payment-related information, technical information such as IP address, browser type and website usage data, and information needed to deliver client projects, integrations or support services.

Where relevant to a client project, we may also process information provided by our clients, such as customer, staff, caller, resident, patient, client or operational data. In those cases, we usually handle that information on behalf of the client and in accordance with our agreement with them.

3. Sensitive information

We do not intentionally collect sensitive information through our website unless you provide it to us or it is required for a specific service. Sensitive information may include health information, biometric information, government identifiers, or information about a person's racial or ethnic origin, political opinions, religious beliefs, sexual orientation or criminal record.

Where we handle sensitive information as part of a client solution, we will only do so where permitted by law, where appropriate consent or authority exists, and where suitable safeguards are in place.

4. How we collect information

We may collect personal information directly from you, from your employer or organisation, from our clients, from website forms, email, phone calls, online meetings or demonstrations, from technology systems we integrate with or support, from cookies and analytics tools, and from publicly available sources where appropriate.

5. Why we collect and use personal information

We collect and use personal information to respond to enquiries, provide quotes, proposals and demonstrations, deliver consulting, software, automation, AI and integration services, manage customer and partner relationships, design and support technology solutions, meet legal and accounting obligations, protect our systems and clients, and communicate updates or service information where appropriate.

We may also use de-identified or aggregated information to improve our services, analytics, reporting, product development and business operations.

6. AI, automation and voice services

Some Taidotech solutions may involve AI, automation, voice agents, chat agents, workflow tools, analytics, transcription, classification or decision-support features. Depending on the solution, these services may process information such as call or chat content, transcripts, caller details, contact records, operational notes, workflow outcomes, service requests, system logs, and analytics and performance metrics.

Where we provide AI or automation services to a client, the client remains responsible for determining the lawful basis for collecting and using information within their business context. Taidotech will handle information in accordance with our agreement with the client and applicable privacy obligations.

We aim to design AI and automation solutions with appropriate safeguards, including access controls, auditability, minimisation of unnecessary data collection, and human review where required.

7. Disclosure of personal information

We may disclose personal information to our employees, contractors and service providers, technology vendors and cloud hosting providers, professional advisers such as accountants and lawyers, payment and billing providers, client-approved integration partners, and regulators or government agencies where required by law. We only disclose information where it is reasonably necessary for our business activities, service delivery, or legal obligations.

8. Overseas disclosure

Taidotech may disclose personal information to, or allow access to personal information by, employees, contractors and service providers located outside Australia where this is reasonably necessary to deliver our services. This may include personnel located in countries such as the Philippines, as well as cloud and technology providers that may store or process information in Australia or overseas.

Where personal information is disclosed overseas, we take reasonable steps to ensure appropriate privacy, confidentiality and security safeguards are in place — including contractual confidentiality obligations, access controls, and secure systems. For clients in regulated sectors, Taidotech may agree to use Australian-hosted environments or place additional restrictions on offshore access where required by contract or regulation.

9. Security of personal information

We take reasonable steps to protect personal information from misuse, interference, loss, unauthorised access, modification or disclosure. Security measures may include access controls, authentication and authorisation controls, encryption where appropriate, secure cloud platforms, logging and monitoring, role-based access, data minimisation, and secure development practices.

No internet transmission or technology system is completely secure, but we take privacy and security seriously and work to reduce risk.

10. Retention of personal information

We keep personal information for as long as reasonably necessary for the purpose it was collected, including to provide services, meet contractual obligations, resolve disputes, maintain business records, and comply with legal requirements. When information is no longer required, we will take reasonable steps to delete, destroy or de-identify it.

11. Website cookies and analytics

Our website may use cookies, analytics tools and similar technologies to understand website traffic, improve user experience and assess the effectiveness of our content.
